What we keep about you, why, and how to ask for it back or deleted.

  • We keep only what we need to teach you and to take payment.
  • Stripe handles your card. We never see the full number.
  • Lessons are recorded only with your yes, which you can take back at any time. Publishing anything needs a separate, written yes.
  • Practice between hours is kept only to run it. Voice notes are for your tutor and deleted after 90 days.
  • No advertising trackers. The only cookies keep you signed in and remember your choices.
  • Ask us any time to see, correct, or delete your information: hello@glossalyse.com.

Who is responsible

Jon Weaver, a sole trader in the United Kingdom trading as Glossalyse, is responsible for your information (the “controller”). Contact: hello@glossalyse.com.

What we collect, and why

Your account. Your email address, password (stored scrambled, never readable by us), name, country, time zone, English level and aims. We use these to run your account, show times in your time zone, and prepare your lessons. Legal basis: to provide the lessons you asked for (contract).

Your lessons. Your weekly time, your bookings, and the notes you write for your tutor before a lesson. Legal basis: contract.

Payments. What you paid and when, and a reference to your Stripe customer record. Stripe holds your card details. Legal basis: contract, and our legal duty to keep financial records.

Recordings. Only if you say yes: the audio and video of the lesson, a written transcript, the notes typed in the lesson chat, and your tutor’s review of your speaking. We use them only to help you learn, to show you what is changing, and to build your practice between lessons. Legal basis: your consent. You give it, or not, as a separate choice when you create your account, and you can withdraw it at any time under Account. Withdrawing applies from your next lesson and does not affect recordings already made; you can also ask us to delete those. We keep a record of each choice you make and the wording you saw.

Your practice. If you practise between lessons: which parts you did each day, the answers you marked on practice cards, and any voice notes you send your tutor. We keep these to run the practice you asked for. Legal basis: contract. Voice notes also need your yes: you are asked before your first one, and you can turn them off at any time under Account. Emails. Messages you send us, so we can reply.

Recordings, and publishing

Recordings are never published or shown to anyone outside your learning without your separate, written permission. You can take that permission back at any time, and we will stop using the material in anything new.

Your practice and voice notes

Voice notes are heard only by your tutor. They are never transcribed, never scored and never published. Each note is deleted 90 days after you send it, or sooner if you take it back before your tutor has heard it, or turn voice notes off under Account. When you turn them off, we stop giving new access to your notes at once and delete every stored note within 24 hours; a listening link your tutor already opened may work for a few more minutes until it expires.

Your practice cards, and reading pieces made for you, are written with help from Google Gemini, shaped by your tutor’s lesson chat notes (with anything that identifies you removed) and the aims you gave us. On some days the reading piece is a general one that uses nothing about you. Your tutor approves the cards and the direction for each week. Each reading piece passes automatic checks before you see it; pieces are not reviewed one by one by your tutor. If you choose Listen, Deepgram reads the piece aloud.

Who helps us

We use a few trusted services to run Glossalyse. They process your information only on our instructions:

  • Supabase: sign-in, account storage, and storing voice notes.
  • Stripe: payments and subscriptions.
  • Vercel: hosting this website.
  • Our video lesson platform: running and recording lessons.
  • Deepgram: turning a lesson recording into text, and reading practice pieces aloud when you choose Listen.
  • Google Gemini: speech analysis that helps your tutor review a lesson recording, and writing practice cards and reading pieces, shaped by your tutor’s lesson chat notes, with anything that identifies you removed, and your aims. Neither Gemini nor Deepgram ever receives your voice notes.
  • Our email provider: sending and receiving email.

Some of these services store data outside the UK, for example in the United States. Where they do, they use legal safeguards approved under UK law, such as the UK International Data Transfer Addendum.

How long we keep it

Your account information: for as long as you have an account, then deleted within 90 days of you asking us to close it. The recording itself: deleted from our video lesson platform 14 days after the lesson. Transcripts: up to 12 months after the lesson, then deleted automatically, or sooner if you ask. If a lesson is recorded when you had not said yes (for example, a tutor forgets to stop it), we delete it as soon as it reaches us and do not use it. Payment records: six years, because UK tax law requires it.

Your practice records (which parts you did, your card answers, and the pieces and cards made for you): for as long as you have an account, then deleted within 90 days of it closing. Voice notes: 90 days after you send them, or sooner as described above. Listen audio (a piece read aloud): 30 days. A voice note waiting to send is kept only in your browser. After 24 hours it can no longer be sent and is deleted the next time you open Glossalyse; it is cleared sooner if you sign out, discard it, switch account or turn voice notes off.

Cookies and storage

We use only what the site needs to work: a cookie that keeps you signed in, a cookie that remembers the lesson time you picked while you create your account (it lasts a day), a short-lived cookie while you reset a password, a note in your browser of whether you chose day or night mode, and, while practice is waiting to send, a temporary copy of it in your browser (see above). No advertising or tracking cookies.

Your rights

You can ask to see the information we hold about you, to correct it, to delete it, to take a copy with you, or to object to how we use it. Email hello@glossalyse.com and we will reply within one month. If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk. We would appreciate the chance to put it right first.

Changes

If we change how we use your information, we will update this page and its date, and email you about anything important.
